What is 5S workplace organisation?

The 5S method helps organisations to systematically organise and manage workplaces. The approach consists of Sort, Set in Order, Shine, Standardise, and Sustain.

5S goes beyond just tidying up. By logically arranging materials, visibly documenting agreements, and giving employees responsibility for their workplace, a safe and clear working environment is created. This reduces search time and unnecessary movement, makes deviations visible more quickly, and forms a basis for standardised working.

What are the five steps of 5S?

The five steps of 5S are Sort, Set in Order, Shine, Standardise, and Sustain. The steps build upon each other and together ensure a workplace that remains clear, safe, and manageable.

1. Sort

Seiri

Remove materials, tools, and information that are not needed for carrying out the work. This ensures that only what is actually necessary remains.

2. Set in Order

Seiton

Give all necessary materials and tools a logical, recognisable, and fixed place. This makes it immediately clear where everything belongs.

3. Shine

Seiso

Clean the workplace and use this as an inspection moment at the same time. This makes contamination, wear, and other deviations visible more quickly.

4. Standardise

Seiketsu

Visibly document the desired layout and working method. This includes workplace standards, markings, photos, and other forms of visual management.

5. Sustain

Shitsuke

Ensure that employees continue to follow, check, and improve the agreements. Ownership, discipline, and regular follow-up are essential here.

How do you implement and sustain 5S?

The implementation of 5S begins with jointly sorting, setting in order, and cleaning the workplace. Subsequently, clear standards, responsibilities, and visual agreements are established.

The biggest challenge is usually not the initial tidy-up, but sustaining the new way of working. Employees may revert to old habits, while managers pay insufficient attention to follow-up.

Sustaining therefore requires ownership within the team, regular 5S audits, and discussion of deviations during daily stand-ups. Practical solutions include fixed cleaning times, clear photo standards, and immediate improvement actions. By making results visible and recognising successes, 5S becomes part of daily work and the organisational culture.
